Export outsourcing

International sales outsourcing for Polish manufacturers. From selecting buyers and preparing your offer to outreach, follow-up discussions and reporting. We carry out agreed activities using Expanta’s resources or alongside your team.

An external partner to carry out your international sales activities

You have products to sell abroad, but day-to-day work leaves little time to find buyers and follow up on conversations. Through export outsourcing, you entrust Expanta with agreed commercial tasks. You can develop a new market without creating a full-time export manager role, or add support to your existing export department.

We start with your objective, product and business situation. If the direction or offer needs further work, export consulting is the first stage, followed by implementation. If a plan is already in place, we agree on the scope and begin at the appropriate stage. We support manufacturers across different industries.

What does international sales outsourcing cover?

We tailor the scope to your products, markets and available resources. Activities can include:

Selecting and researching potential buyers

We identify companies that fit your product: distributors, importers, retail chains or direct business customers. We research their profile, range and sales channels, then share a proposed list for agreement, taking your existing contacts into account.

Preparing your offer for discussions

We examine competing offers and help select arguments that matter to the buyer. We organise product information, terms and availability, and help prepare the information and quotations requested by potential partners.

Making contact and developing conversations

We tailor the approach to each company and its purchasing profile. We manage correspondence, follow up and clarify new questions. When approaching retail chains, we also consider their range review dates where these are known.

Following up and coordinating responses

We establish what an interested buyer needs: technical information, a product selection, samples or a specific offer. We coordinate responses with your company and arrange the discussions needed to move forward.

Working with your team

We can carry out the agreed activities independently or work with your sales and marketing team. We define responsibility for contacts, materials and approvals to avoid duplicating work.

Reporting and supporting next decisions

We report completed activities, the status of individual discussions, market responses and next steps. We highlight where we need a decision or further information from you. Findings inform changes to the activities and offer.

See what has been done and where each conversation stands

Access to information enables you to make decisions and take over activities when needed. Within the agreed scope, you receive:

an organised list of researched companies and contacts;
the status of discussions: responses, requested materials, offers or a future follow-up date;
information on buyer requirements, concerns and reasons for declining;
a summary of completed activities and next steps;
the information and decisions needed from your company.

We distinguish activities from commercial outcomes. A first reply, sample request, price discussion and purchase order are different stages. Progress is therefore assessed in the context of individual buyers, rather than simply the number of messages sent.

How do we start and manage the work?

  1. Establish the starting point

    We discuss your products, current sales, previous activities and objective. We establish whether to begin with export preparation, a new market or support for conversations already under way.

  2. Agree on scope and responsibilities

    We select markets, buyer groups and tasks. We agree on fees, required materials, decision-makers and communication, including which activities need your approval.

  3. Move into implementation

    We organise your offer, agree which companies to approach and carry out commercial activities. We collect questions and feedback, then work with your company to prepare responses that keep discussions moving.

  4. Review progress and next steps

    We follow a reporting rhythm agreed at the start, which may include weekly reports. We review active contacts, obstacles and tasks, then decide what to continue, change or add.

What do we need from the manufacturer?

Outsourcing works more smoothly when we have current information and access to a decision-maker. You do not need a complete set of sales materials before speaking to us: together, we identify what to prepare before approaching buyers.

  • Information about your products, applications, strengths and available documentation.
  • Inputs for an offer: prices, minimum orders, production capacity and lead times.
  • A list of current partners and previous discussions to agree on outreach priorities.
  • A person responsible for providing answers, approving terms and making commercial decisions.

How are export outsourcing fees determined?

Fees depend on the activities, selected markets, readiness of the offer and involvement required. Researching one market requires a different scope from regular outreach and support for several active commercial discussions. We agree on the scope and fees before work begins.

We do not charge commission on customers acquired or sales generated. The commercial relationships and information developed during the project remain with your company. You retain decisions on prices, terms and partner selection; Expanta carries out the agreed activities.

Questions before working together

Can I outsource export activities without an export department?

Yes. We can prepare and carry out the work using Expanta’s resources. We need someone in your company who knows the offer, provides information and makes decisions. If you are just starting, we first establish the market, buyers and materials needed for discussions.

Do you support companies that already have an export manager?

Yes. We can research a new market, identify buyers or take on selected contacts while your team serves existing customers. We agree on the division of responsibilities before starting.

Can I entrust Expanta with only part of the work?

Yes. We agree on tasks that match your current needs. These may include identifying potential partners, making initial contact, continuing discussions or coordinating the preparation of offers.

Who sets prices and terms for international buyers?

Your company makes the final decisions. We help gather buyer requirements and prepare a response, but prices, payment terms and delivery commitments require your approval.

What happens to contacts when the collaboration ends?

Contacts, information from discussions and commercial relationships remain available to your company. We agree how these are shared during the project so that your team can continue the work.

When can we assess the first results?

We report activities and buyer responses from the start. The time needed to reach an offer or order depends on factors including the product, terms and the partner’s purchasing cycle. Together, we set points for reviewing progress and deciding what comes next.
